As the Executive Assistant to three of our Lead Trainers you will play a vital role in supporting our trainers in delivering world-class training programs and coaching sessions while helping to maintain smooth operations within our organization.
You will serve as a critical point of contact for internal and external stakeholders, ensuring effective communication and the coordination and prioritization of activities.
Your organizational skills and ability to balance multiple work activities while maintaining patience, flexibility (and a great sense of humor!) will be instrumental to the success of our trainers.
Responsibilities:
Calendar Management:
Coordinate and manage trainers' calendars, including scheduling appointments, calls, meetings, and travel arrangements.
Prioritize and optimize their schedules to ensure efficient use of their time in relation to organizational priorities.
Communication and Correspondence:
Serve as a primary point of contact for the trainers, screening and responding to emails, phone calls and other forms of communication.
Client and Stakeholder Management:
Cultivate positive and professional relationships with clients, vendors and other stakeholders.
Documentation and Data Management:
Draft, edit and properly format documents, presentations, client pre-work assignments and reports as needed.
Maintain accurate physical and digital records and streamline database management related to clients, training programs and other administrative tasks.
Ensure data integrity and confidentiality at all times.
Meeting Support:
Organize and prepare meeting materials, including agendas and other necessary materials.
Attend meetings as needed, taking notes and following up on action items to ensure timely completion.
Training and Coaching Program Support:
Assist trainers in preparing training materials including Program Detail documentation, pre and post client assignments, handouts and other resources.
Coordinate with Bell Program Managers regarding venue logistics, equipment setup, and technical support as needed.
Expense Management:
Assist with the tracking and reconciling of trainers' expenses and expense reports.
Office Administration and General Tasks:
Provide general administrative support and coordination as requested by trainers.
Requirements:

years of proven experience as an executive assistant or in a comparable administrative role.
Bachelor's degree in business administration, communications, or a related field (preferred) Familiarity with leadership development training, event planning or other professional services organizational setting is a plus.
Excellent organizational and time management skills with the ability to prioritize tasks and meet deadlines.
Strategic and methodical thinker that connects the dots between various workflows and company initiatives to create process efficiencies.
Strong written and verbal communication skills, with exceptional attention to detail.
Proficient in Microsoft Office Suite (Word, Excel, Outlook) is required.
Experience using a client management database, Calendly and other task management tools a plus.
Exceptional interpersonal skills to build and maintain professional relationships.
Ability to handle sensitive and confidential information with discretion.
Flexibility and adaptability to changing priorities and a fast-paced work environment.
Proactive problem-solving skills and a self-starter mindset.
Professional demeanor, integrity, and positive attitude.

This position will be in-person from 8am to 5pm daily in our downtown Chapel Hill, NC headquarters.
Compensation will be commensurate with experience and skill set.
