Ensure smooth and efficient patient flow by managing appointment schedules, coordinating with medical staff, and optimizing wait times.
Work at front desk as needed.
Supervise the front desk staff, including hiring, training, scheduling, and conducting performance evaluations.
Oversee patient check-in and check-out processes, ensuring accuracy of patient information, insurance verification, and collection of copayments or outstanding balances.
Address patient inquiries, concerns, and complaints in a timely and professional manner, resolving issues to achieve high patient satisfaction.
Maintain knowledge of medical office policies, procedures, and regulations, ensuring compliance with privacy and security guidelines (HIPAA).
Develop and implement front desk procedures and protocols to enhance efficiency, streamline operations, and improve patient experience.
Perform all other duties requested by physicians, front office coordinators, office managers, etc.
Complete staff schedule weekly.
Review provider schedule to determine how to increase patient volume.
Oversee daily insurance eligibility report to ensure insurance has been entered correctly.
Check incoming emails from the contact us site and distribute them to staff when there are requests for appointments.
Access submitted forms via email protected and upload them into patient's chart for updating.
Assist in tracking key metrics for site to meet organizational goals.
Monitor daily provider schedules and work with front office to schedule appointments with patients appropriately.
Work with the Director of Patient Relations and Call Center Supervisor.
Generate reports and analyze front desk performance metrics, such as patient wait times, check-in times, and staff productivity.
Attend meetings as required.
Qualifications:
High school diploma or equivalent; additional education in healthcare administration or related field is a plus.
Proven experience in a medical office or healthcare setting, with at least 2 years in a supervisory or leadership role.
Strong knowledge of medical office procedures, including appointment scheduling, patient registration, insurance verification, and billing processes.
Excellent customer service and interpersonal skills, with the ability to effectively communicate with patients, staff, and medical professionals.
Exceptional organizational and multitasking abilities, with close attention to detail.
Proficient in using electronic health record (EHR) systems, scheduling software, and other office applications.
Ability to remain calm and composed in stressful situations, handling patient complaints or emergencies with professionalism.
Strong leadership skills, with the ability to motivate and mentor a team, promote teamwork, and resolve conflicts.
Knowledge of HIPAA regulations and commitment to maintaining patient confidentiality and privacy.
Knowledge, Skills and Abilities:
Familiar with EMR systems and/or ability to train effectively on EMR systems.
Maintain confidentiality of all providers, staff, and patient information.
Meticulous attention to detail.

Estimated Salary: $20 to $28 per hour based on qualifications.
